We are looking for a graduate looking to join a dynamic team of professionals passionate about education! The role will start as a 6 month internship with the potential to be extended or go permanent. This role is office based in Whitechapel paying an hourly rate of £17.37. There will be 35 hours per week (9.00am – 5.00pm) - School Term time only.

About the Company:
Our client is a school trust that are delighted to be designated by the Department of Education as the lead school for Hackney and Tower Hamlets Teaching School Hub in February 2021. Over the last three years they have embarked upon an exciting start-up and rapid growth phase to ensure that they realise their ambition to create a collegiate professional learning community. To date, they have supported over 900 Early Career Teachers and their mentors training on the Early Career Framework Full Induction Programme with the company, and over 590 teachers and leaders on their National Professional Qualification programmes. They are working in partnership with four strategic local partners to deliver their Full Induction Programme and have over thirty facilitators from a range of local Hackney and Tower Hamlets schools collaborating with them to deliver their programmes.

The Role:
The role of the East London Teaching School Hub Administrator is to provide outstanding administrative support to the Hub’s leadership team and to work collaboratively with the Hub central team. You will be the first point of contact for all enquiries, requests and messages regarding the hub and will also support with events management.
The nature of the support required will vary from day to day and the post holder will be required to be flexible and adapt to changing priorities.

Purpose of the role
The role of the East London Teaching School Hub Administrator is to provide outstanding administrative support to the Hub’s leadership team and to work collaboratively with the East London Teaching School Hub central team. You will be the first point of contact for all enquiries, requests and messages regarding the hub. You will also support with events coordination and some of the HR and finance functions of the hub.
Main Duties and Responsibilities
Customer relations

Managing multiple email boxes in Outlook in a timely and efficient manner. Triaging initial email and phone enquiries- identifying if they can respond themselves using guidance provided (such as FAQs and knowledge of the programmes) or if they need to be passed onto or discussed with senior team members
Support with the maintenance of accurate and up-to-date mailing lists; setting up mail merges and sending out communications as instructed by senior team members.
Assisting the Programmes Coordinator in welcoming and supervising participants at in person events
Assisting the Programmes Coordinator, with a hands-on approach, to prepare and deliver a high number of professional, well-organised online and in-person events, ranging from small meetings to large conferences. This will include assisting with placing catering orders; filing; mailing participants although this list is not exhaustive.

Data Handling

Ensuring all administrative activity complies with the Trust privacy policy and is GDPR compliant. Ensuring confidentiality is maintained at all times.
Ensuring records are maintained in line with programme license requirements, DFE grant agreements and external reporting schedules.
Assisting the Operations Officer and Programmes Coordinator in maintaining accurate records for programme participation, programme engagement and reporting systems as directed by the Teaching School Hub senior team members. This will include:
- participant data management: accurate recording of key information; maintaining up-to-date
- databases to record key information; cross-referencing and bringing together different data sources from local partners, lead providers and DfE to ensure accurate information and to identify gaps.
- Competent use of spreadsheets (including formulas); mail merge and CRM systems

Programme delivery support

Support with managing shared documents: creating folders and uploading documents with appropriate sharing rights; using links to share information
Competent use of Zoom and MS Teams to set up and host meetings, manage polls, breakout groups and chat. Recording meetings when required.
Support with scheduling of meetings and making any necessary arrangements such as room bookings, ordering refreshments, making any travel arrangements for ELTSH senior team and photocopying associated with programme delivery.
Support with maintaining ELTSH session schedules

HR and Finance Administrative Support

Responsible for completing administration activities related to ELTSH’s ITT delivery remit. This will require liaising with strategic leads, external stakeholders, Trust HR colleagues and providing regular recruitment
updates
Complete basic financial administrative duties such as raising purchase orders and processing invoices.

General requirements

The post holder will also supervise the work of any junior casual assistants employed by hub.
Safeguard and promote the welfare of pupils and to follow the child protection procedures adopted by Trust
