Job purpose

To support the Executive Assistant in providing administrative support to members of the senior leadership team.

Main duties and responsibilities

  • Maintain external stakeholder database
  • Arrange and prepare papers and materials or make presentations
  • Preparing and formatting reports or presentations
  • Provide administrative support for project management groups
  • Reply to requests for information
  • Sort and filter incoming telephone calls before passing to senior leadership if considered necessary
  • Answering and forwarding phone calls
  • Taking messages
  • Organising couriers / distributing post
  • Booking meetings
  • Make any telephone calls as requested and follow up any resulting actions
  • Undertake project/research work as required
  • Maintain a high degree of confidentiality with regard to issues concerning members of staff and finance matters
  • Attend occasional evening or weekend events as required
  • Comply with all policies procedures especially in relation to child safeguarding

Person specification

Essential - Statutory requirements

  • Eligibility to live and work in in the UK
  • Undergo an Enhanced DBS disclosure check or overseas equivalent


  • Good numeracy and literacy skills
  • Competence in Microsoft Office and other IT applications

Experience and knowledge

  • Experience of working in a reception and/or administrative role
  • Experience of working in customer-facing role and of providing excellent customer service

Skills and abilities

  • Excellent and effective verbal and written communication skills in English
  • Highly organised with the ability to manage and prioritise a varied workload
  • Diligent and with an excellent eye for detail
  • Ability to deal professionally and courteously with stakeholders at all times
